What Sustainability Data Should Every Venue Track?

Why data, not description, now wins bids

Sustainability descriptions are easy to write and hard to verify. Data is different. It can be reported, compared and, where required, audited. As disclosure requirements expand across many markets, clients need venues to provide event-level and venue-level figures they can use with confidence.

A venue that tracks the right data can support client reporting, win tenders that require environmental information, and communicate its performance credibly. A venue that cannot risks exclusion from those opportunities. Data collection is therefore a commercial capability, not only an environmental one.

The core metrics every venue should track

The following categories represent the foundation. Not every venue will track all of them at the same maturity, but each should be on the roadmap.

Energy consumption

Energy is usually the largest driver of a venue’s operational emissions. Venues should track:

• Total energy consumption, split by electricity and any fuels used for heating.
• Energy source, including the proportion from renewable contracts, with supporting documentation.
• Consumption normalised where possible, for example per square metre or per event, to allow meaningful comparison over time and between venues.

Reliable energy data underpins any credible carbon figure. Without it, carbon claims rest on estimates.

Carbon emissions

Building on energy data, venues should work towards a measured carbon footprint. This should:

• Cover direct emissions and purchased energy emissions, commonly described as Scope 1 and Scope 2.
• Extend, where feasible, to relevant indirect emissions in the value chain, commonly described as Scope 3, such as waste and, where the venue can gather it, travel.
• State the standard or methodology used.
• Note any third-party verification.

Carbon data should always be reported with its method, so clients can judge its reliability.

Waste and diversion

Waste is visible, measurable and frequently misrepresented. Venues should track:

• Total waste generated, by stream where possible.
• Diversion rate, meaning the proportion diverted from landfill through recycling, composting or reuse, with the calculation method stated.
• Food waste specifically, including any donation or composting arrangements.

The diversion rate is only meaningful with a clear method. Two venues can report very different figures simply because they calculate them differently.

Water consumption

Water matters, particularly in regions facing water stress. Venues should track total water consumption and, where possible, normalise it per event or per attendee. Even basic water data demonstrates awareness and supports clients with water-related reporting needs.

Travel data

Attendee and supplier travel is often the largest source of an event’s total footprint, and it is the hardest for venues to capture. Venues cannot control travel, but they can support its measurement. Useful data includes:

• Public transport access and usage where available.
• Electric vehicle charging usage.
• Any data collected jointly with organisers on attendee travel.

Because travel data is difficult, venues should be honest about its limits and clear about the method used to estimate it.

Procurement and catering

Catering and procurement carry significant impact. Venues should track:

• The proportion of local and seasonal sourcing, with a stated definition.
• Menu-related data where the venue has the capability to estimate it.
• Key supplier standards applied.

Making the data reliable

Collecting data is only half the task. The data must be reliable enough to report and, where necessary, defend.

Use consistent methods

Metrics should be calculated the same way each time, using documented methods. A diversion rate or an energy figure is only comparable if the method is consistent. Changes in method should be recorded and explained.

Record the source and assumptions

Every figure should be traceable to a source, whether a meter reading, a supplier record or a survey. Assumptions and estimates should be labelled as such. This protects the venue and the client from overstating results.

Seek verification where it matters

For the most significant or public-facing figures, third-party verification adds credibility. Verified data is far more valuable to clients with formal reporting obligations, and far safer to communicate publicly.

Turning data into commercial advantage

Well-tracked data does more than satisfy reporting. It informs operational improvement by revealing where energy, waste and water can be reduced. It strengthens bids by answering procurement questions with evidence. And it enables credible communication, because claims are grounded in figures the venue can produce on request.

Conclusion and next steps

Every venue should be able to track energy, carbon, waste, water, travel and procurement data, calculated consistently and traceable to its source. This is no longer a specialist exercise. It is a core commercial capability that determines which venues can win larger clients and communicate credibly.
