Travel Emissions: The Biggest Challenge for Sustainable Events?

Why travel dominates the footprint

The reason travel often dominates is straightforward. An event brings many people together in one place. Each attendee’s journey adds to the total, and for events that draw an international audience, air travel can account for a large proportion of overall emissions.

The scale of this varies enormously by event type. A local community event has a very different travel profile from an international conference. This variation is important. Generalisations about travel’s share of the footprint are unreliable. The only dependable figure is one measured for the specific event, based on how attendees actually travelled.

The measurement problem

Travel emissions are hard to measure because the data sits with attendees, not organisers. Organisers rarely know how each person travelled, how far, and by what mode. Estimating travel emissions therefore depends on collecting attendee data, applying appropriate emission factors, and accepting a degree of uncertainty.

This is why credible travel reporting requires a defined method. It should state how travel data was collected, what assumptions were made, and which emission factors were used. Without this, any travel figure is an estimate presented as fact.

Why travel is so hard to reduce

Several factors make travel emissions resistant to reduction.

The first is the value of physical presence. Many events exist precisely because people benefit from meeting in person. Reducing travel by reducing attendance can undermine the event’s purpose and commercial model.

The second is the limits of individual choice. Attendees choose their own transport, often based on cost, time and availability. An organiser can influence these choices but cannot dictate them.

The third is infrastructure. The lower-carbon option is not always available or practical. Rail may not connect the relevant cities. Direct routes may not exist. The greener choice has to be realistic for attendees to take it.

Practical ways to manage travel emissions

Although travel is difficult, it is not beyond influence. The following measures are practical and, importantly, measurable.

Choose location deliberately

Venue location is the single most powerful lever an organiser controls. Selecting a location central to the majority of attendees reduces total travel distance. For recurring events, analysing where attendees come from can inform a location that minimises collective travel.

Support lower-impact transport

Organisers can make the greener option easier. This includes providing clear public transport information, arranging shared transport, and choosing venues with strong transport links and electric vehicle charging. These measures do not force change, but they remove friction from better choices.

Offer credible hybrid participation

Hybrid and remote participation can reduce travel where physical attendance is not essential. This must be done well. A poor virtual experience simply reduces engagement. A strong one genuinely substitutes for some travel. Organisers should measure the difference in attendance modes to understand the actual effect.

Collect travel data properly

To manage travel emissions, organisers must measure them. This means collecting attendee travel data through registration or surveys, using a consistent method, and reporting the result with its assumptions stated. Good data also informs future decisions, such as where to hold the next event.

Address residual impact with verified action

After reducing what can be reduced, some travel emissions will remain. These can be addressed through verified external climate action, provided this is communicated carefully. The correct sequence is to measure, reduce, and then address the remainder. Presenting external action as a substitute for reduction is misleading and should be avoided.

Avoiding overstatement

Travel is an area where overstatement is easy and damaging. Claiming an event was low-carbon while ignoring significant air travel is a common form of greenwashing. Credible communication acknowledges travel as a major impact, describes the measures taken, reports the measured result honestly, and distinguishes reduction from residual action.

The stronger position is transparency. Audiences respect an organiser that confronts its largest impact openly, more than one that highlights minor wins while avoiding the difficult figure.

Conclusion and next steps

Travel may well be the biggest challenge for sustainable events, because it is large, hard to measure and largely outside direct control. That does not make it unmanageable. Deliberate location choices, support for lower-impact transport, credible hybrid options and proper measurement all reduce and clarify the impact. The essential discipline is to measure honestly and communicate carefully.

One Tribe helps organisations measure and prove the impact of their events, including the difficult area of travel, and turn the result into verified, reportable action. If travel is your event’s largest and least understood impact, we can help you measure it properly and address it credibly. Speak to One Tribe about managing event travel emissions with evidence.
