Sustainable Venue Procurement: An RFP Evidence Checklist

Why the RFP stage is decisive

Once a venue is booked, most environmental outcomes are already fixed. Energy sources, waste systems, water infrastructure and building efficiency are largely set. The RFP stage is one of the few moments where an event owner holds commercial leverage. Used well, it allows buyers to compare venues on measurable performance and to build sustainability requirements into the contract.

The risk is asking for the wrong things. Vague questions produce vague answers. Specific, evidence-led questions produce documentation that can be checked, reported and, where necessary, audited.

Building an evidence-led RFP

The principle is simple. For every sustainability question, ask for the supporting evidence. If a venue states it uses renewable energy, request the tariff details or certification. If it claims to divert waste from landfill, request recent figures and the method used to calculate them.

Energy and carbon

Energy is usually the largest source of a venue’s operational emissions. Request the following:

• The venue’s energy sources, including any renewable electricity contracts, and supporting documentation such as tariff certificates or Renewable Energy Guarantees of Origin where applicable in the relevant market.
• Recent energy consumption data, ideally per square metre or per event, to allow comparison.
• Any measured carbon footprint for the venue, along with the standard or methodology used. Ask whether figures cover Scope 1, 2 and, where available, relevant Scope 3 categories.
• Evidence of any third-party verification of carbon data.

Treat unverified carbon claims with caution. A stated figure without a methodology or verification note should be flagged for follow-up.

Waste and resource use

Waste performance is often visible to attendees and easy to misrepresent. Request:

• Recent waste diversion or recycling rates, with the calculation method stated.
• The systems in place for food waste, including donation or composting arrangements.
• Policies on single-use items and reusable alternatives.
• Water consumption data or efficiency measures where relevant.

Certifications and standards

Certifications can support a case, but they vary in rigour. Request:

• The full name of any certification, the issuing body and the current validity date.
• The scope of the certification, since some cover the building and others cover specific management systems.
• Recognised examples that buyers may encounter include ISO 14001 for environmental management and ISO 20121 for sustainable event management. Confirm the certificate is current rather than historic.

Note that the presence of a certification is a starting point, not a conclusion. Ask what the certification actually assesses.

Supply chain and catering

Catering and procurement drive a significant share of event impact. Request:

• Information on local and seasonal sourcing, with examples rather than general statements.
• Plant-forward menu options and the ability to report on menu-related emissions where the venue has that capability.
• Supplier standards the venue applies.

Transport and accessibility

Attendee travel is frequently the largest single source of event emissions. While the venue does not control travel, its location and facilities influence it. Request:

• Public transport access details.
• Cycling facilities and electric vehicle charging provision.
• Proximity to accommodation to reduce local travel.

Turning evidence into contract terms

Evidence gathered in the RFP should not stay in a spreadsheet. The strongest procurement processes carry selected commitments into the contract. This might include agreed reporting of energy and waste data after the event, or a commitment to provide the data needed for the event’s carbon reporting.

This matters for two reasons. First, it holds the venue accountable to what it stated during the bid. Second, it gives the event owner the data required to report accurately and to avoid overstating results.

Scoring and comparison

To compare venues fairly, apply a consistent scoring framework. Weight the criteria that align with the event’s priorities and the organisation’s reporting obligations. Separate verified evidence from unsupported claims in the scoring, and record where further verification is needed before any public statement is made.

A practical rule is to score what is proven, note what is promised, and discount what is merely asserted.

Conclusion and next steps

Sustainable venue procurement improves when the RFP stops asking whether a venue is sustainable and starts asking it to prove how. An evidence-led checklist shifts the conversation from intention to documentation, and gives event teams a defensible basis for their decisions and their reporting.

One Tribe helps organisations measure and prove the impact of their events, turning procurement data into verified, reportable outcomes.
