How to Communicate Sustainable Events Without Greenwashing

Why greenwashing is a business risk

Greenwashing is often unintentional. A team proud of its progress rounds up a figure, uses a broad term such as “carbon neutral” without explanation, or highlights one initiative while ignoring the wider picture. The consequences are real. Regulators in several markets have tightened rules on environmental claims. Audiences share and scrutinise claims publicly. A single overstated statement can undermine trust built over years.

The reputational cost of an exaggerated claim usually outweighs the reputational benefit. Credible, modest communication protects the organisation and, over time, builds a stronger position than inflated language.

Principle one: claim only what you can evidence

Every public sustainability statement should be traceable to data or documentation. If an event states it reduced emissions, the reduction should be measured against a defined baseline using a stated method. If it states it diverted waste from landfill, the figure should be supported by records.

A useful test before publishing any claim is to ask a simple question. If a journalist or regulator asked for the evidence behind this statement, could we provide it quickly and clearly? If the answer is no, the claim needs revision or removal.

Principle two: be specific, not absolute

Absolute claims are the most dangerous. Terms such as “carbon neutral”, “net zero”, “eco-friendly” and “green” carry strong meaning and, in some markets, specific regulatory expectations.

Prefer specific, bounded statements:

• Instead of “our event was green”, state what was actually done and measured.
• Instead of “carbon neutral event” without context, explain what was measured, what was reduced and how any remaining emissions were addressed.
• Instead of “sustainable catering”, describe the specific choices, such as plant-forward menus or local sourcing, with the reasoning.

Specific language is harder to challenge because it describes verifiable actions rather than sweeping outcomes.

Principle three: show the whole picture

Selective communication is a common form of greenwashing. Highlighting a recycling programme while ignoring significant travel emissions can mislead, even when each individual claim is true. Credible communication acknowledges the areas of largest impact and describes the approach to them, including where progress is still needed.

This honesty is not a weakness. Audiences respond well to organisations that show they understand their full footprint and are addressing the difficult areas, not only the visible ones.

Handling offsets and verified action carefully

Where an event addresses residual emissions through external climate action, describe it precisely. Explain what was measured, what was reduced first, and what remaining impact was addressed. Avoid implying that supporting external projects cancels an event’s footprint entirely. The stronger position is to show a hierarchy: measure, reduce, then address the remainder with verified action.

Language matters here. “Deliver verified climate action” is more defensible than “offset our emissions”, because it points to something measurable and reportable.

Principle four: match the claim to the standard

Environmental claims are increasingly governed by advertising and consumer protection rules. In the UK, for example, guidance on environmental claims has been issued by the relevant authorities and advertising bodies. Similar frameworks exist in other markets. Communications teams should confirm that any environmental claim aligns with the applicable rules in the markets where it will appear.

This is a point for genuine legal review, not a formality. The specifics vary by jurisdiction and change over time.

Principle five: separate ambition from achievement

Organisations often want to communicate goals as well as results. This is legitimate, provided the two are clearly distinguished. A target for a future date is not the same as an achieved outcome. Use clear framing such as “our aim is” for goals and “we measured” or “we achieved” for results. Blurring the two is a frequent source of misleading claims.

A practical pre-publication checklist

Before any sustainability statement is published, confirm:

• The claim is supported by data or documentation that can be produced on request.
• The language is specific rather than absolute.
• The claim reflects the whole picture, not a selective highlight.
• Any goal is clearly labelled as a goal, not an achievement.
• The claim has been checked against advertising and consumer protection rules in the relevant markets.

Conclusion and next steps

Communicating sustainable events well is a discipline. It rests on evidence, specificity, honesty about the whole footprint, and alignment with the rules that govern environmental claims. Done properly, it protects the organisation from reputational and regulatory risk and builds durable trust with sponsors and delegates.

One Tribe helps organisations measure and prove the impact of their events, so their communications are grounded in verified data rather than assertion. If your team wants to make sustainability claims it can stand behind, we can help you build the measurement and reporting foundation first. Speak to One Tribe about communicating impact you can prove.
